Editors Proceedings: Nicholas A. Walton (CE) Andrew Lawrence Roy Williams Dear Dr. Lawrence, It gives me great pleasure to inform you that our GS has been able to schedule the above mentioned Special Session for the desired 3 days after all. The foreseen 0.5 day Special Session on "Data Management in Astronomy", to be organized by Dr. Ray Norris, will follow directly after your SpS. We are waiting for input on SOC, editors and program from him. Wishing you success with the organization of your Special Session, best regards, Karel A. van der Hucht IAU AGS >>> Karel van der Hucht 6-5-05 11:45:52 >>> Dear Dr. Lawrence, thank you for your prompt response. My apologies for two errors from my side. I have corrected the name for your Special Session. The other is that the planned total duration for your Special Session is not 3.0 days but 2.5 days. An extra 0.5 day Special Session has been added on "Data Management in Astronomy", to be chaired by Ray Norris (of which I am awaiting the proposal). This should be rather complementary to your Special Session. Wishing you success with the organization of your Special Session, best regards, Karel A. van der Hucht IAU AGS >>> Andrew Lawrence 6-5-05 11:03:13 >>> Dear Dr van der Hucht, I have consulted with the scientific organising committee who are happy to accept the offer of a 3 day Special Session. We look forward to a successful meeting within a very successful General Assembly. One immediate point is that our title seems to have been cut short in your correspondence - I trust this was a simple error ? You have *The Virtual Observatory in Action: New Science, New *Technology, and Next Generation but the word "Facilities" should be on the end. If there is a formal limit on title length, do please let us know. andy lawrence chair of the SOC *-----Original Message----- *From: Karel van der Hucht [mailto:K.A.van.der.Hucht@sron.nl] *Sent: 04 May 2005 14:27 *To: al@roe.ac.uk *Cc: naw@ast.cam.ac.uk; vtrimble@astro.umd.edu; roy@cacr.caltech.edu *Subject: correction: IAU GA-2006 SPECIAL SESSION (1) * * *re: *IAU GA-2006 SPECIAL SESSION (S-P19) *The Virtual Observatory in Action: New Science, New *Technology, and Next Generation Facilities *Prague, Czech Republic, 14-25 August 2006 *Duration: 2.5 days *Coordinating Division: XII *SOC chairperson: Andrew Lawrence *Expected number of participants: ... *Editors Proceedings: Nicholas A. Given the fact that the proposals *for GA-2006 Symposia had an oversubscription factor of 3, most of them *of outstanding quality, tough decisions had to be made. * *The IAU Executive Committee has accepted the recommendations *made by the *IAU Division Presidents, resulting in the selection of three Symposia *outside the 2006 IAU General Assembly, six Symposia during GA-2006, and *some eighteen GA Joint Discussions plus five GA Special Sessions. * *Following the recommendations of the DPs, I am pleased to inform you *that your proposal was accepted by the EC as a Special Session, with *a total duration of 3 days. We hope that this is acceptable to you. * *Our congratulations and good wishes for this important and serious *enterprise, which will take a lot of your time and that of your *organizing and editing colleagues in the near future. A formal Letter *of Acceptance (with preliminary number) is attached; a signed copy *for official purposes will be sent to you by airmail. * *We look forward to hearing from you, with returning email, whether you *accept this arrangement. * * *Here follows some information about procedures which are relevant *for the organization of your Special Session and its subsequent *Proceedings, which the IAU-EC expects you to observe closely: * * *FINAL PROGRAM *You are requested to inform me of the final detailed program of your *Special Session at your earliest convenience. * * *ABSTRACTS *You will be informed of the IAU GA-2006 Abstract Server in due time. * * *PROCEEDINGS *As a matter of course, the success of your Special Session and its *Proceedings depends in the first place on providing the best possible *Scientific Programme and on your selection of the best possible *Speakers. The subsequent high-quality and timely Proceedings are the *crown on each Special Session. * *The Proceedings of all GA-2006 Special Sessions will be published *in the IAU series Highlights of Astronomy, Volume 14 (Cambridge *University Press). The Highlights of Astronomy will be made available *electronically and in book form, and can be ordered via the GA-2006 *Registration Form. * *Style-files will be made available in due time. * *The contract with CUP stipulates that Highlights of Astronomy will be *published six months after GA-2006. CUP needs three months for the *production process, leaving the three months right after GA-2006 for *the Editors to complete their task. This implies that Special Session *Editors have to request from all speakers/authors in their SpS *to submit *their completed manuscripts to the Editors at the time of GA-2006. *Editors can give Authors another four weeks after GA-2006 to make any *desired revisions of their manuscripts. * *If you have any questions on the above, please feel free to contact me. * *This brings to you my best wishes, as always, *sincerely yours, * *Karel A. van der Hucht *IAU AGS * * ******************************************************** *dr Karel A. van der Hucht *Assistant General Secretary *International Astronomical Union *url: www.iau.org * *Space Research Organization Netherlands *Netherlands Institute for Space Research *Sorbonnelaan 2 *NL-3584 CA UTRECHT, the Netherlands *tel: +31-30-2535729/5600, fax: +31-30-2540860 *email: K.A.van.der.Hucht@SRON.nl *url: www.sron.nl ********************************************************
