Walton (CE) Andrew Lawrence Roy Williams Dear Dr. Lawrence, Your proposal for an IAU Symposium as listed above was reviewed by the IAU Executive Committee and the IAU Division Presidents at their meeting in Rome, 18-20 April 2005. Given the fact that the proposals for GA-2006 Symposia had an oversubscription factor of 3, most of them of outstanding quality, tough decisions had to be made. The IAU Executive Committee has accepted the recommendations made by the IAU Division Presidents, resulting in the selection of three Symposia outside the 2006 IAU General Assembly, six Symposia during GA-2006, and some eighteen GA Joint Discussions plus five GA Special Sessions. Following the recommendations of the DPs, I am pleased to inform you that your proposal was accepted by the EC as a Special Session, with a total duration of 3 days. We hope that this is acceptable to you. Our congratulations and good wishes for this important and serious enterprise, which will take a lot of your time and that of your organizing and editing colleagues in the near future. A formal Letter of Acceptance (with preliminary number) is attached; a signed copy for official purposes will be sent to you by airmail. We look forward to hearing from you, with returning email, whether you accept this arrangement. Here follows some information about procedures which are relevant for the organization of your Special Session and its subsequent Proceedings, which the IAU-EC expects you to observe closely: FINAL PROGRAM You are requested to inform me of the final detailed program of your Special Session at your earliest convenience. ABSTRACTS You will be informed of the IAU GA-2006 Abstract Server in due time. PROCEEDINGS As a matter of course, the success of your Special Session and its Proceedings depends in the first place on providing the best possible Scientific Programme and on your selection of the best possible Speakers. The subsequent high-quality and timely Proceedings are the crown on each Special Session. The Proceedings of all GA-2006 Special Sessions will be published in the IAU series Highlights of Astronomy, Volume 14 (Cambridge University Press). The Highlights of Astronomy will be made available electronically and in book form, and can be ordered via the GA-2006 Registration Form. Style-files will be made available in due time. The contract with CUP stipulates that Highlights of Astronomy will be published six months after GA-2006. CUP needs three months for the production process, leaving the three months right after GA-2006 for the Editors to complete their task. This implies that Special Session Editors have to request from all speakers/authors in their SpS to submit their completed manuscripts to the Editors at the time of GA-2006. Editors can give Authors another four weeks after GA-2006 to make any desired revisions of their manuscripts. If you have any questions on the above, please feel free to contact me.
